1. About this policy

Dimboola Pottery is a small pottery teaching studio. This policy explains what personal information I collect when you book a class or contact the studio, why I collect it, how I look after it, and the choices you have. I handle personal information in line with the Australian Privacy Principles, even though, as a small business, I am not strictly required to.

In this policy, “I”, “me” and “the studio” mean Dimboola Pottery, a sole trader business operated by George Poonkhin Khut (ABN 91 845 585 203).

2. What I collect

When you book or enquire, I may collect:

  • your name, email address and mobile phone number;

  • your postcode;

  • details of your booking: the class, date, any gift certificate or voucher code, and payments;

  • the pots you make in class, and the clay and glazes you choose;

  • optional information you give me, such as access needs, an injury, or anything you would like me to know before class;

  • your choice about receiving news and offers;

  • messages you send me by email, phone, text or social media.

I collect information directly from you, usually through the online booking form. I do not buy or trade in mailing lists.

3. Why I collect it

  • to take your booking, send confirmations and reminders, and run your class;

  • to look after you in the studio, for example by adapting a class around an injury you have told me about;

  • to make, fire, glaze and return your work;

  • to take payment and keep financial records;

  • to answer your questions;

  • if, and only if, you ticked the box, to send you news about classes, term dates and offers (see section 6).

I use optional information, such as health or access details, only to adapt your class. I do not use it for marketing and I do not share it.

4. Where your information is kept and who handles it

I use trusted online services to run the studio. Your information is stored in, or passes through:

  • Acuity Scheduling (Squarespace), for bookings and the booking form;

  • Zoho CRM and Zoho Flow, a client database that is kept up to date from bookings (data stored in Zoho's Australian data centre);

  • Xero, for invoices and accounting;

  • Square, for card payments;

  • Microsoft 365 / Outlook, for email;

  • Dropbox, for backups of studio records.

Some of these providers store or access data outside Australia, including in the United States. I choose providers with reasonable security practices, but I cannot control their systems. Your card details are handled by the payment provider and are not stored by me.

I do not sell your personal information. I do not share it with anyone else except: the service providers above, when needed to run the studio; where you ask me to; or where the law requires it.

5. Photos

I may photograph finished pots and the studio for the website and Instagram. I will not publish photos that show you, or credit your name, without asking you first.

6. News and offers (email and SMS)

I will only send you marketing by email or SMS if you have said yes, for example by ticking the box on the booking form. Booking confirmations, reminders and messages about your class are service messages and are not marketing.

  • Every marketing email has an unsubscribe link.

  • For SMS, contact me or use the opt-out link in the message.

  • You can also email hello@dimboolapottery.com.au at any time and I will remove you within five working days.

  • Saying no never affects your booking.

7. Keeping your information safe

I keep information in password-protected accounts and limit who can see it. Printed class sheets are kept in the studio. No system is perfectly secure. If I believe a serious data breach affecting you has occurred, I will tell you.

8. How long I keep it

  • Client and booking records: for as long as you remain a client, and for 3 years since your last class.

  • Financial records: for at least five years, as tax law requires.

  • Marketing details: until you unsubscribe.

When information is no longer needed, I delete it or remove identifying details.

9. Your rights: access, correction and complaints

You can ask to see the personal information I hold about you, ask me to correct it, or ask me to delete it where I am not required to keep it. Email hello@dimboolapottery.com.au. I will respond within a reasonable time, usually within 30 days.

If you have a concern, please contact me first. If you are not satisfied, you can complain to the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.

10. Website and cookies

The studio website and booking pages are run on Squarespace and Acuity Scheduling, which may use cookies and collect basic usage data such as pages visited. You can control cookies in your browser settings.

11. Changes to this policy

I may update this policy from time to time. The latest version will always be on the website, with the date above.
